TenderMonitor Australia ("we", "us", "our") is operated by Reitzer-Parks Trent (ABN 40 670 532 871), a sole trader based in NSW 2541, Australia. TenderMonitor is a tender alert service that monitors government procurement opportunities published on AusTender, NSW buy.nsw, and QLD QTenders, and sends alerts when new tenders match a subscriber's chosen profession profile, focus areas, and exact keyword refinements. This privacy policy explains what information we collect, how we use it, who helps us process it, and how to contact us about access, correction, or deletion.

What we collect

We collect only what is necessary to provide the service:

  • Email address: used to send tender alerts, welcome emails, service messages, signed settings links, and unsubscribe links.
  • Alert profile: your chosen profession or service profile, optional focus areas, exact keywords, and source or state restrictions.
  • Account status: your plan, trial status, active or paused state, subscription status, and billing identifiers returned by Lemon Squeezy.
  • Mobile phone number (optional): used for SMS deadline reminders if you choose a paid plan and turn SMS on.
  • Service records: alert delivery logs, welcome/no-match lifecycle records, settings-token activity, recent filter-health evidence, and request metadata used for security and abuse prevention.
  • First-party signup context: when present, the page where your current browser session first landed, the page where you signed up, the referrer domain, and standard campaign parameters such as source, medium, and campaign. We do not store the full referrer URL.
  • Published tender details: tender titles, descriptions, agencies, dates, links, and published procurement contact names or emails where a source portal provides them.

At signup we do not ask for your name, physical address, or card details. Payment details are entered directly with Lemon Squeezy; we receive subscription status and billing identifiers, not your card number.

How we collect your information

We collect personal information directly from you when you sign up, update settings, contact us, or use a signed management link sent by email. We receive subscription status updates from Lemon Squeezy when your payment plan changes. The public website may use first-party session storage during the current browser session to remember signup context, such as the first landing page and referrer domain, before you submit the signup form. The public website and provider API requests use HTTPS. Customer records are kept in access-controlled service databases and operational backups.

How we use your information

  • Match your profession profile, focus areas, and exact keywords against newly published tenders from the monitored portals.
  • Send email alerts, welcome messages, no-match check-ins, onboarding messages, lifecycle notices, and closing-soon reminders.
  • Send SMS deadline reminders if you have a paid plan, provide a mobile number, and turn SMS on.
  • Generate plain-English tender summaries, relevance scores, and filter-health evidence where available.
  • Manage settings, billing status, support requests, security, abuse prevention, and operational troubleshooting.

We do not sell, rent, or trade your personal information to any third party, for any reason, under any circumstances.

Third-party services

We use the following third-party services to operate TenderMonitor:

  • Brevo: email delivery. Brevo receives the recipient email address, email content, and signed settings or unsubscribe links needed to deliver TenderMonitor messages.
  • Supabase: database hosting. Supabase stores subscriber settings, account status, billing identifiers, and filter-health snapshots.
  • Vercel: website hosting. Vercel processes public website requests, signup, settings, unsubscribe, and payment-webhook API requests.
  • ImprovMX: email forwarding for messages sent to our contact address.
  • ClickSend: SMS delivery. If SMS is enabled on a paid plan, ClickSend receives your mobile number and SMS message content.
  • Groq: AI text processing. Tender metadata, descriptions, and your subscriber filter labels may be sent to Groq to generate summaries and relevance scores. We do not intentionally send your email address or phone number to Groq.
  • Google Gemini: AI text processing fallback. The same tender and filter context may be sent to Gemini if Groq is unavailable.
  • Lemon Squeezy: payment processing and Merchant of Record. Lemon Squeezy handles checkout, invoices, tax collection, payment details, and subscription events. We receive the subscription status, customer email, plan, and subscription identifiers needed to update your account.

Cross-border disclosure

Some service providers may process information outside Australia, including in the United States, Europe, and other countries where they or their subprocessors operate. Before using these services we take reasonable steps, including relying on provider contracts and privacy terms, to manage how personal information is handled.

Where our tender data comes from

Tender source fields are collected from tenders.gov.au (the official Australian Government procurement portal), buy.nsw.gov.au (the official NSW Government procurement portal), and QLD QTenders (the official Queensland Government procurement portal). This data is published by government agencies and may include procurement contact details. TenderMonitor may normalize display fields and add match reasons, AI summaries, relevance scores, or value estimates where available. Always verify the full tender details, licence terms, deadlines, and requirements on the source portal before acting.

Cookies and tracking

The public TenderMonitor website does not use cookies, advertising scripts, retargeting pixels, or third-party analytics that track you across the web. We may use first-party session storage in your current browser session to remember privacy-safe signup context. That context is stored with your account only if you submit the signup form.

Data retention and deletion

When you unsubscribe, your account is deactivated immediately and you will stop receiving tender alert emails. We retain account preferences, delivery logs, billing records, support records, and security records while they are needed to operate the service, handle disputes, meet legal or accounting obligations, prevent abuse, or restore from backups.

You can ask us to delete or de-identify your account information by emailing hello@tendermonitor.com.au . We will respond within 30 days and remove or de-identify the information we no longer need, subject to records we must keep for legal, accounting, security, backup, or dispute-resolution reasons.

Your rights and how to complain

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of any inaccurate information.
  • Lodge a complaint about how we handle your personal information.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.

Spam Act 2003

We send commercial electronic messages only where we have consent or another lawful basis to do so. Every alert email includes an unsubscribe option, and supported mail clients may also show a one-click unsubscribe action. SMS alerts require a mobile number and SMS preference and can be turned off in settings. Unsubscribe requests are usually processed immediately and will be honoured no later than 5 working days.

Changes to this policy

We may update this privacy policy from time to time. If we make material changes, we will notify you by email at least 30 days before they take effect. The "last updated" date at the top of this page reflects the most recent revision.
