Privacy Policy

TenderMonitor Australia ("we", "us", "our") is operated by Reitzer-Parks Trent (ABN 40 670 532 871), a sole trader based in NSW 2541, Australia. TenderMonitor is a tender alert service that monitors government procurement opportunities published on tenders.gov.au (Australian Government), buy.nsw.gov.au (NSW Government), and QLD QTenders (Queensland Government), and sends email and SMS notifications to subscribers when new tenders match their chosen keywords. This privacy policy explains what personal information we collect, how we use it, and your rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What we collect

We collect only what is necessary to provide the service:

• Email address: used to send you tender alert emails and service communications.
• Keyword preferences: the industry terms you choose to monitor, used to match relevant tenders to your interests.
• State preferences: which Australian states you are interested in, used to filter tenders to your region.
• Mobile phone number (optional): if you choose to receive SMS alerts, your mobile number is collected and used solely for sending closing-soon tender reminders via SMS. You can add, change, or remove your number at any time through your settings page. SMS alerts are available on paid plans only.
• Subscription plan: your plan type and account status, used to manage your subscription.

We do not collect your name, physical address, or payment details. All payment processing is handled entirely by Lemon Squeezy (see Third-party services below).

How we collect your information

We collect personal information directly from you when you sign up through the TenderMonitor website. We also receive subscription status updates from Lemon Squeezy when your payment plan changes. All data is transmitted via HTTPS and stored in an encrypted database.

How we use your information

• Match your keywords against newly published federal and state government tenders and send you email alerts when matches are found.
• Send SMS reminders when tenders matching your keywords are approaching their closing date, if you have opted in to SMS alerts and provided a mobile number.
• Send you welcome emails when you sign up and closing-soon reminders for tenders you may be interested in.
• Manage your subscription and account status.

We do not sell, rent, or trade your personal information to any third party, for any reason, under any circumstances.

Third-party services

We use the following third-party services to operate TenderMonitor:

• Brevo: email delivery. Headquartered in France with servers in the European Union. Your email address is shared with Brevo solely for the purpose of delivering tender alerts and service emails.
• Supabase: database hosting. Headquartered in the United States. SOC 2 Type II compliant. Your email address, keyword preferences, state preferences, mobile phone number (if provided), SMS preference, subscription plan, trial status, and account status are stored in a Supabase-hosted PostgreSQL database.
• Vercel: website hosting. Headquartered in the United States. Hosts the TenderMonitor website.
• ImprovMX: email forwarding. Servers located in Europe. Used to forward emails sent to our contact address.
• ClickSend: SMS delivery. Headquartered in Australia. If you opt in to SMS alerts, your mobile phone number is shared with ClickSend solely for the purpose of delivering closing-soon tender reminders via SMS.
• Groq: AI text processing. Headquartered in the United States. Tender descriptions and your keyword context are sent to Groq to generate plain-English AI summaries and bid relevance scores for your alerts. No personal contact details are shared.
• Google Gemini: AI text processing (fallback). Headquartered in the United States. Used as a backup when Groq is unavailable. Same data as above.
• Lemon Squeezy: payment processing. Headquartered in the United States. Lemon Squeezy acts as our Merchant of Record, meaning they handle all payment transactions directly. We never see or store your credit card details or other payment information.

Cross-border disclosure

Your personal information may be disclosed to recipients in Australia (ClickSend), the United States (Supabase, Vercel, Lemon Squeezy, Groq, Google), France and the European Union (Brevo), and Europe (ImprovMX). We take reasonable steps to ensure these service providers handle your information in accordance with the Australian Privacy Principles.

Where our tender data comes from

Tender data is sourced from tenders.gov.au (the official Australian Government procurement portal), buy.nsw.gov.au (the official NSW Government procurement portal), and QLD QTenders (the official Queensland Government procurement portal). This is publicly available data published by federal and state government agencies and is reproduced under the Creative Commons Attribution 4.0 International licence where applicable. We do not modify tender information. We monitor it and notify you when it matches your keywords. Standard plan subscribers receive federal tenders from AusTender only. Multi-State plan subscribers receive tenders from all three portals.

Cookies and tracking

We do not use cookies or tracking technologies. We do not run advertising scripts, retargeting pixels, or third-party analytics that track you across the web.

Data retention and deletion

When you unsubscribe, your account is deactivated immediately and you will stop receiving emails. Your data is retained in an inactive state for 12 months so that you can resubscribe in the future without losing your keyword preferences.

We aim to delete inactive data within 12 months of deactivation. If you would like your data deleted immediately, email us at hello@tendermonitor.com.au and we will remove all records associated with your email address within 30 days.

Your rights and how to complain

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you.
• Request correction of any inaccurate information.
• Lodge a complaint about how we handle your personal information.

To exercise any of these rights, email hello@tendermonitor.com.au. We will respond within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.

Spam Act 2003

We only send emails and SMS messages you have explicitly consented to receive. Every email we send contains a one-click unsubscribe link. SMS alerts require a separate opt-in through your settings page and can be turned off at any time. Unsubscribe requests are honoured within 1 business day, well within the 5 business day requirement under the Spam Act 2003 (Cth).

Changes to this policy

We may update this privacy policy from time to time. If we make material changes, we will notify you by email at least 30 days before they take effect. The "last updated" date at the top of this page reflects the most recent revision.
